Data Processing Addendum

Scope and roles

This addendum forms part of the Terms of Service. For personal data your business supplies or controls, you are the controller and TopCrew is the processor. You are responsible for lawful collection, instructions, notices, and permissions. TopCrew processes data only to provide the service on your instructions, unless law requires otherwise. Our own account and homeowner data handling is covered by the Privacy Policy.

Processing and safeguards

Processing includes storing, using, sharing on your instructions, and deleting contact information, communications, job evidence, payment references, and connected service data about customers, leads, crew, and suppliers. Processing lasts for the service and applicable retention periods. Access is restricted to authorized people under confidentiality obligations. We use encryption and access controls and notify you of personal data breaches without undue delay. We do not sell customer data or train our own models on it. AI provider handling is described in the Privacy Policy.

Subprocessors and transfers

You authorize applicable providers: Fly.io and Neon (hosting and database); Cloudflare (storage and image processing); Resend (email); Telnyx (calls and SMS); Stripe (payments); OpenAI and Anthropic (AI); Muapi, Google, and Pollinations (images); apilayer and Positionstack (contact validation and geocoding); and Telegram (alerts). Connected services you select operate under their own terms. Processing may occur in the United States and other countries, with lawful safeguards, including Standard Contractual Clauses where applicable. We post material subprocessor changes before they take effect.

Requests, deletion, and review

We assist with applicable data-subject requests and provide reasonable information about these obligations on request. Request export or deletion in the product or through our privacy request form. Business accounts have a 30-day recovery window before deletion is queued; retained records and provider retention follow the Privacy Policy. Material changes receive the notice required by the Terms of Service. Contact privacy@topcrew.aifor assistance or a countersigned copy.
